1. Before you book
BASEES Membership: Non-members of BASEES are encouraged to join the Association, one benefit being access to a reduced conference fee. Please fill in the membership form on the BASEES website and send it with the appropriate payment to the Membership Secretary, Dr Jenny Mathers, BASEES Membership Secretary, Dept of International Politics, Aberystwyth University, Aberystwyth SY23 3FE, Wales, UK. To qualify for a reduced conference fee, participants must join BASEES by 31 January 2009 or renew their membership by 1 January 2009 (existing members).
2. Registration and booking All paper-givers, panellists, discussants, and chairs should register as conference participants by completing and returning a booking form. This year we are able to offer you secure on-line booking for all those who wish to pay by credit card or cheque. Please use this link On-line booking form. However, if you are making a group booking or wish to pay by bank transfer or have been awarded financial support please use the booking forms which can be downloaded in Word format or pdf.file. Completed booking forms should be returned to the Conference Administrator (Tricia Ellis-Evans), together with the appropriate registration fee and payment for any meals and accommodation you require. In view of the demand for rooms you are advised to send in your booking form as soon as you can. If you have been awarded financial support from BASEES (your subject stream organiser will have informed you of this already) please fill in the booking form, indicating the precise sum BASEES is providing, and deduct this from your total. You will be expected to pay any remaining balance when you make your booking.

4. Presenting your paper at the conference
Equipment requirements: If you have not already submitted details of your presentation requirements on your proposal form, you should let the conference administrator, Tricia Ellis-Evans know your requirements as soon as possible. Availability of equipment cannot be guaranteed if you do not make your requirements known well in advance.
Timing: Each BASEES session, with the exception of special lectures or plenary meetings, lasts for 90 minutes. Arrangements for each panel at the conference are the responsibility of its chair but you will normally be expected to present a summary of your paper, drawing attention to your main conclusions, in not more than fifteen or twenty minutes. Discussants should take no more than ten to fifteen minutes to present their comments, in order to allow sufficient time for audience participation. We would anticipate that at least 30 of the 90 minutes will be taken up with audience involvement. Participants in round tables of more than 3 people may be asked to give shorter presentations of five or ten minutes.
Providing copies of your paper: Please prepare hard copies for the other members of your panel and in case you are asked for copies by conference participants. However, we would suggest that it would be more cost effecitve for you to email your paper to any of the particpants who request it after the conference. Alternatively, if you can put a copy of your paper on your own or your department’s website, we can create a link to it. Please email your hyperlink to Tricia Ellis-Evans and she will attach it to the title of your talk in the programme.
